The system home page is the clubs' dashboard; which quickly shows the secretary the state-of-play.
Information about how many members are active, are all the fees due paid and if not, how much is late and on a single-click of a button, establish which members are late and how much do they each owe.
The club membership manager can create unlimited subscription categories so that even the most complex arrangements can be managed in the same process.
Every subscription created can be grouped into categories and sub-categories for report purposes and subscription fees are not the only charge a club can use the system for. Many clubs are using the system to manage fines and/or tour fees, even new kit charges.
Every subscription has a payment plan manager to allow fees to be paid annually, monthly or weekly as the club sees fit.
The membership record holds all that is needed to securely manage the financial relationship with the club
Information is held about the individual club member, as well as all the other related family club members, where our lead family member (or guardian) is responsible for their payments.
However, there is no need to store personal contact information relating to the children neither is any financial information, bank accounts or debit/credit cards necessary.
Every member has access to their own statement relating to their club membership fees
Information is displayed about their current season and should payments be due to be paid (or late) they have the tools to pay the club using PayPal (the club needs a PayPal account) if they would like to. The member can still pay fees due directly to the club over the bar or through a bank transfer but the membership secretary would have to update the system when it is received.
The membership secretary has access to ALL members accounts to manage the fees and the receipts, however, the individual member gets a secure login code and can only access accounts they are responsible to pay fees for.
No club is free of late-payers and the system will track the members who owe the club money
The reasons are irrelevant all that is important is that the membership secreatary or club treasurer know the money has not been recorded in the members statement as being received (even if paid it must be recorded properly).
The system can then send a reminder email from the members account or create an SMS text message straight to the members mobile phone. Both system send links to pay the fees online through the Paypal payment gateway.
There are reports to help the membership secretary prepare financial overviews on the membership population.
Reports are in real-time for overdue fees and prepares a committee to work with information that is current allowing good decisions to be made regarding individual members circumstances.
Reports are continually being developed for the system user groups based on their feedback too.
